What is Business Process Management Suite (BPMS) and why do you need one?
In this article, I'm introducing Business Process Management Suites – BPMS, tools which provide a new way of provisioning and automating organisation business processes. Today's organisations are becoming more complex and require new approaches in managing the complexity. Customers demand better, quality and affordable services and products while staff demand a better working environment. Every staff and team requires some kind of an information system or app to manage and automate their work processes. Information systems managers keep on initiating custom application development projects for each request to address the staff and clients' demands. Eventually, they find themselves managing several applications and systems for each team or department.
Managing several applications in an organisation increases both administration complexities and operating costs. Thus, with this practice, eventually, IT departments find themselves spending more time and resources in administering the systems and supporting users.
Another problem is that businesses aren't static. Business processes keep changing to adapt to various business needs such as new Government regulations or new customers demands. Therefore, features in these business applications are regularly added or removed according to new requirements coming from internal and external stakeholders. With custom developed applications performing changes to the system is both time consuming and costly.
Furthermore, these applications require integration to facilitate data exchange to increase productivity and customer satisfaction. This is another tough challenge for the IT team. If several applications are integrated with the aid of APIs, when one application is modified, it may require changes to several API's to maintain data integrity.
These challenges call for a new approach to provisioning information systems. Information systems managers must adapt application development and provide techniques that provide quality services at relatively low operating costs and within a short time. That is when Business Process Management Suites or systems (BPMS) comes into mind. BPMS helps organisations improve their business processes through definition, analysis and automation. BPMS facilitates modelling, analysis, editing, and automating all organisational business processes within a single platform. BPMS also process monitoring tools that integrate with reporting tools to provide analytics about process performance.
